Legal
The terms that govern your use of PixPay and how we handle your data. Plain language where possible.
1. About PixPay
PixPay is an invoicing platform operated by HappyPixel Agency, a trading name of Daniel Lynval Sydney, based in the United Kingdom. PixPay allows freelancers, sole traders, and small businesses to create, send, and manage invoices and accept payments online.
2. Your account
To use PixPay you must create an account using a valid email address. You are responsible for keeping your login credentials secure and for all activity that occurs under your account. Notify us immediately at hello@mypixpay.co.uk if you suspect unauthorised access.
You must be at least 18 years old and legally able to enter into contracts in your jurisdiction to use PixPay.
3. Free and Pro plans
PixPay offers a free plan with a limit of 5 invoices and a Pro plan with additional features billed monthly or annually. Plan details, pricing, and feature limits are set out on the Pricing page and may change with reasonable notice.
The BETAFOUNDER50 promotional code provides 50% off the Pro plan for the lifetime of your subscription, for the first 50 eligible sign-ups. This discount is non-transferable and applies only to the plan and billing cycle in force at the time of redemption.
4. Payments and billing
Pro plan subscriptions are billed in advance, monthly or annually. Payments are processed by Stripe. By subscribing you authorise PixPay to charge your payment method on a recurring basis until you cancel.
Cancellations take effect at the end of the current billing period. We do not offer refunds for partial periods except where required by UK consumer law.
Card payments made by your clients via PixPay's payment links are processed directly by Stripe to your connected Stripe account. PixPay does not hold, handle, or have access to those funds at any point. Stripe's terms and fees apply.
5. Acceptable use
You agree not to use PixPay to:
- Send invoices for illegal goods or services
- Impersonate another person or business
- Attempt to access other users' accounts or data
- Use automated tools to scrape or extract data from the platform
- Engage in fraudulent activity of any kind
We reserve the right to suspend or terminate any account that violates these terms without notice.
6. Your data and content
You own the data you create and upload to PixPay — including your business details, client information, and invoice content. By using the service you grant PixPay a limited licence to store and process that data solely for the purpose of providing the service to you.
We do not sell your data to third parties. See our Privacy Policy for full details on how we handle your information.
7. Service availability
We aim to keep PixPay available at all times but do not guarantee uninterrupted access. We may perform maintenance, make updates, or experience downtime beyond our control. We will notify users of planned maintenance where reasonably possible.
8. Limitation of liability
PixPay is provided as-is. To the fullest extent permitted by law, HappyPixel Agency is not liable for any indirect, incidental, or consequential loss arising from your use of the service, including lost revenue, missed payments, or data loss.
Our total liability to you for any claim is limited to the amount you paid us in the 12 months preceding the claim.
9. Changes to these terms
We may update these terms from time to time. We will notify you by email or via the platform when material changes are made. Continued use of PixPay after changes take effect constitutes acceptance of the updated terms.
10. Governing law
These terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
11. Contact
For questions about these terms, contact us at hello@mypixpay.co.uk.
1. Who we are
PixPay is operated by HappyPixel Agency, a trading name of Daniel Lynval Sydney, United Kingdom. We are the data controller for the personal data we collect about you. Contact: hello@mypixpay.co.uk.
2. What data we collect
Account data
When you create an account we collect your email address and any business profile information you choose to add — business name, address, phone number, bank details for invoicing, and logo.
Invoice and client data
When you create invoices and add clients we store that information on your behalf. This includes your clients' names, email addresses, company details, and invoice content.
Payment data
We do not store payment card details. Card payments are handled by Stripe. We receive confirmation of payment status from Stripe via webhook. Stripe's privacy policy applies to payment processing.
Usage data
We collect basic usage information to operate the service — including invoice view events (to update invoice status to Viewed) and system logs. We do not use third-party analytics trackers.
3. How we use your data
- To provide and operate the PixPay service
- To send transactional emails — invoice confirmations, payment reminders, password resets
- To process your Pro subscription via Stripe
- To respond to support requests
- To improve the platform based on usage patterns
We do not use your data for advertising. We do not sell your data to any third party.
4. Who we share data with
We share data only with the third-party services required to operate PixPay:
- Supabase — database and authentication hosting (EU data residency)
- Stripe — payment processing and subscription billing
- Resend — transactional email delivery
- Vercel — platform hosting and serverless functions
All processors are under contract to handle your data securely and only for the purposes we specify.
5. Data storage and security
Your data is stored in Supabase with row-level security enforced — no user can access another user's data. All data is encrypted in transit using TLS. We follow security best practices and review them regularly.
6. Your rights under UK GDPR
You have the right to:
- Access the personal data we hold about you
- Correct inaccurate data
- Request deletion of your account and associated data
- Restrict or object to processing in certain circumstances
- Data portability — receive your data in a machine-readable format
To exercise any of these rights, email us at hello@mypixpay.co.uk. We will respond within 30 days.
7. Data retention
We retain your account data for as long as your account is active. If you delete your account we will remove your personal data within 48 hours. Invoice records you have created may be retained for up to 7 years for legal and tax compliance purposes, in anonymised form where possible.
8. Cookies
PixPay uses only functional cookies required to keep you logged in and maintain your session. We do not use advertising cookies or third-party tracking cookies.
9. Children
PixPay is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children. If you believe a child has created an account, contact us and we will delete it promptly.
10. Changes to this policy
We may update this policy from time to time. We will notify you by email when material changes are made. The date at the top of this page shows when it was last updated.
11. Contact and complaints
For privacy questions, contact us at hello@mypixpay.co.uk. If you are not satisfied with our response you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
